Important Dates & Deadlines
Mark your calendar and stay on track with these critical deadlines.
Food Sampling & Permit Deadline
Last day to submit sampling form, purchase food permit, and submit temp food permit form.
Utility Orders Due
Last day to order electricity, water, and internet at standard rates.
COI Submission Deadline
All exhibitors must submit their Certificate of Insurance by this date.
Decorator Orders Due
Last day to submit booth furnishing orders at standard rates.
Decorator Shipments Due
All shipments must arrive to the decorator warehouse by this date.
Exhibitor Move-In Begins
Thursday move-in available 2:00–5:00 PM.
Expo Days
Palmer Events Center. Fri 11 AM–7 PM, Sat 9 AM–6 PM.
Race & Finish Festival
12th & San Jacinto, 7:00 AM – 2:00 PM.

Expo Exhibitor Schedule
⚠ BRING YOUR OWN DOLLY OR HANDCART FOR LOAD IN AND LOAD OUT
Thursday, February 11
2:00 PM – 5:00 PM: Exhibitor move-in. Move in equipment will not be provided; no overflow storage.
Friday, February 12
7:30 AM – 12:00 PM: Exhibitor move-in.
12:30 PM: Loading dock doors close; no access.
11:00 AM – 7:00 PM: EXPO, PACKET PICKUP OPEN
7:30 PM: Doors closed and locked for the night
Saturday, February 13
8:30 AM – 9:30 AM: Loading dock doors open
9:00 AM – 6:00 PM: EXPO, PACKET PICKUP OPEN
6:15 PM – 10:00 PM: Exhibitor move-out. No early dismantling (safety/insurance). Take all items; storage unavailable.
Late Move-Out Fees
A 5-minute grace period after 9:00 PM, then $150/hour. Past 10:00 PM, an additional $150 plus required on-site labor to clear by 11:00 PM.
